How Neat Became This Business Owner’s Go-To Tool

April 16th, 2013

As a small business tax consultant and banking liaison, Kevin Hodel is constantly on the road traveling between clients. Kevin relies on Neat’s cloud-based Digital Filing System solutions to access, organize, and manage client files regardless of his location.

Before Neat became an integral part of his business activities, Kevin was tied to his desk and dependent on a paper-intensive process involving filing cabinets and color-coded folders. Since adopting Neat, Kevin’s ability to efficiently manage his clients’ files and documents allows him to maximize the time spent on-site with a client and never having to carry around a brief case loaded with paper.

The Mobile Office

Since Kevin visits multiple clients on a daily basis, traveling light is essential. With a laptop, iPhone, mobile printer, and Neat’s cloud and mobile services, Kevin can accomplish all the same tasks that are possible from his office. Often he is faced with clients providing the original copies of their contracts, financial statements and notary documents. With NeatMobile, Kevin can quickly scan the information using the camera on his iPhone and then access the information in NeatCloud.

More Time with Clients, Less with Paper

Before using Neat, Kevin spent between one and three hours a day making copies, organizing, and locating client paperwork. The process became so time intensive that the prior week’s work would often go unfiled until Saturday rolled around.

Now with NeatCloud and NeatMobile, Kevin can quickly add client information directly to his Digital Filing System. Once he’s back in his office and turns on his computer, the new information will sync with the Neat software on his desktop; drastically reducing the time spent rummaging through filing cabinets.

With a growing business, Kevin is glad Neat has given him the ability to reduce the time he spends with paper so that he can focus on what his clients need. He continues to find new ways to employ Neat’s whole line of Digital Filing System solutions, often recommending his clients start using them in their own lives.

July 16th, 2012

Ryan Parsons is the owner of an equity company that works with loans and mortgages. Ryan uses Neat to digitize and archive loan documents for his business, while also using Neat to manage his personal finances.

Before Neat became an integral part of his business and personal activities, Ryan was overwhelmed by mountains of paper – often his paperwork and receipts would lie untouched for one to two months before being stuffed into bankers boxes or put into a database. Since adopting Neat, Ryan is able to more efficiently manage his documents allowing him to use his regained time for more important things.

Neat in the office:

  • Archiving and digitizing important documents with Neat. Ryan saves original loan documents by scanning them to PDF with his NeatDesk – then importing the document into his electronic client filing system. By scanning and importing the files into his database, he is able to access the information anytime from anywhere in the world.
  • Solving the paper clutter problem. By scanning his business’s paper documents, Ryan has drastically decreased the amount of paper clutter in the office. Not only has he been able to regain valuable floor space, but now he can quickly and easily find all of his important documents.

Neat in the home:

  • Organizing and storing personal finances. Ryan scans all of his receipts and personal financial documents into Neat’s Digital Filing System. Once digitized, he uses the search function to double check his bank statements, ensuring that all posted transactions are correct.
  • Prepping for tax time. By using Neat’s tax categorization and reporting features, Ryan can confidently file his yearly tax returns knowing that they are both accurate and documentation is available if needed.

Neat on-the-go:

  • Doing business anywhere. Ryan spends a portion of his time traveling in his motor home, often turning it into his mobile office. By using the lightweight and portable NeatReceipts, Ryan hasn’t had to sacrifice his organization system while he’s been out of the office. By scanning with Neat and accessing his files remotely, he can retrieve every document no matter where he is.

Understanding how demanding businesses are today, Ryan is glad Neat has given him back the time he used to spend filing and organizing papers. Dear Neat…

February 14th, 2011

I bought Neat Receipts when it first came on the market, and every year when tax time comes around I love it more.
What I wanted to say after looking at your testimonials is…hasn’t anyone else thought of putting all their recipes in Neat Receipts documents? Wow, it is so cool. I found out I had 2,355 recipes. No wonder I had trouble finding the recipe I wanted inside my old file folders. Chicken recipes and Cookie recipes had so many recipes I could never find the recipe I wanted without a bit of time and frustration. I had a whole file drawer of files jammed with recipes. They are now in alphabetical order, and the folders stay in alphabetical order, too.
I had to type in all the recipe names, but that only took a little bit of work, giving me a chance to create section groups so they are easy to find. Get this! Neat Receipts is so cool, I can copy recipes that I want to several other folders if I want. For instance, I can put cherry cookies in the cookie file or in the cherry file…or both, just in case I’m looking for something to make with cherries!
This is great for cooks!!! Not only that, it was a trip down memory lane as I found such aged recipes that they were nearly falling apart and turning brown from my grandmothers. It has preserved their handwriting forever.
I love this invention!

Barbara – Thank you so much for sharing your experience. It’s great to hear the many ways people use Neat to get/stay organized!

David Pogue discovers NeatReceipts. And there was much rejoicing.

August 22nd, 2009

Whoops of joy were heard throughout the open work spaces of The Neat Company this week: David Pogue, New York Times columnist and pre-eminent technology trendspotter, wrote about his “life-changing” discovery of NeatReceipts for Mac on his popular Pogue’s Posts blog.

His plight was similar to stories we hear from our customers every day: Traveling for business generates mountains of receipts – which must be kept, copied, documented on a spreadsheet and mailed before the promise of reimbursement. There must be a better way!

Indeed there is, Mr. Pogue. And we are thrilled that you’ve joined the ranks of thousands of Neatniks who have seen the organized, digital light.

And to David Pierce, the intern who convinced him to give NeatReceipts a try: you have an open invitation to stop by our office next time you’re in Philly. We totally owe you a beer.
